POLICIES & PROCEDURES
Notice: These Clinical Policies were updated on 21st March 2026.
For all clients, these terms become effective on 5th April 2026
The Relink Charter: A Commitment to Integrity
Relink Therapy operates as an independent psychosexual practice.
Integrity is the foundation of Wayne’s work, and these policies ensure that our clinical relationship remains transparent, safe, and focused entirely on your progress.
1. CONFIDENTIALITY & DATA RETENTION
1.1 The Privacy Mandate: Your right to privacy is absolute. Relink Therapy operates inline with UK GDPR. To protect your information, communication histories are permanently destroyed after 3 months of inactivity. Exceptions where UK GDPR or law require.
1.2 Record Keeping: It is good practice for all therapists to keep accurate, secure, and contemporaneous client records. Clinic notes are kept for a minimum of 7 years. This standard 7-year period covers the typical 6-year legal limitation window for breach of contract or civil claims, plus a 1-year buffer for processing.
1.3 Storage & Third-Party Processors: Secure, encrypted storage and tools are used, including:
- Microsoft Windows & Office 365 (documents/email)
- Therasee (notes)
- Heidi Health (note-taking tool)
- Apple devices (Secure biometric devices)
- FreeAgent (invoicing)
- Mettle (banking)
- WhatsApp/Email (communication).
Clients are advised not to send sensitive information via insecure messaging channels.
2. DISCLOSURE PROTOCOL
2.1 Statutory Exceptions: Confidentiality is only breached if there is a clear, imminent threat to life (yours or another’s) or where I am legally compelled by UK statute.
2.2 Clinical Oversight: To ensure the highest standard of care, I may discuss cases with a clinical supervisor. In these instances, all client data is strictly anonymised; you are treated as a human being, not a case file.
2.3 Third-Party Requests: I will only release information to GPs, solicitors, or other professionals upon receipt of your explicit, written consent.
2.4 Informed Consent: Should a situation arise where a disclosure is legally or ethically required, I move toward the challenge with you. Unless it is clinically unsafe or legally prohibited, I will discuss the necessity of the disclosure with you before taking action. I do not operate behind a client’s back.
3. THE “IN THE TRENCHES” COMMUNICATION POLICY
3.1 Purpose of Provision: I provide WhatsApp support because sexual and emotional crises do not adhere to a weekly schedule. This is a clinical tool for real-time emotional regulation and reporting between our formal sessions.
3.2 Operational Boundaries: You may message at any time to “journal” or reach out during acute distress. I aim to review and respond to these communications within 24 business hours. Please note I am usually closed on Monday, Weekends, bank holidays.
3.3 Digital Security: All communication is end-to-end encrypted. My devices are secured with biometric locks to ensure your data remains for my eyes only. If this “In the Trenches” access becomes counter-therapeutic, I reserve the right to revert to traditional email to protect your clinical boundaries.
4. BOOKING & MOMENTUM
4.1 Administrative Efficiency: I prefer WhatsApp for coordinating appointments to maintain therapeutic momentum and reduce “administrative drag.” We move at the speed of your healing.
4.2 Financial Integrity: A session is only confirmed as “Secured” upon receipt of the settled invoice via Bank Transfer. This ensures that our time together is dedicated to clinical work rather than financial administration.
4.3 Notice Periods: To maintain the viability of the practice, a minimum of 3 working days’ notice is required for any changes or cancellations. Changes made within this window are non-refundable and require a £20 rebooking fee. Integrity in scheduling is a mutual requirement.
5. PROFESSIONAL STANDING & DISCLOSURE
5.1 Regulatory Status: I am a Sexologist and Psychosexual Specialist. I am not a Medical Doctor (MD) and I am not registered with the GMC or HCPC. I intentionally operate outside of these specific institutional frameworks to provide the flexible, somatic, and “in the trenches” support my clients require.
5.2 Credentials: My title “Dr” refers to a Doctor of Psychology (Honoris Causa). This is an honorary recognition of my years in the field and the impact I have made on the community. I prioritise lived results and field expertise over institutional gatekeeping. The reviews from past client are just tone example of my competence.
5.3 Safeguarding: All my work is backed by Professional Indemnity Insurance and a current Enhanced DBS Clearance.
